General Conditions of Booking
1. Definitions and Parties
1.1 “Irish Stay Collection”, “we”, “us” and “our” refer to the management company acting as agent for the property owner.
1.2 “Guest”, “you” and “your” refer to the person making the booking and all members of the party.
1.3 Each property is privately owned and hosted and managed through Irish Stay Collection.
2. Booking and Payment
2.1 Booking Deposit
a) A booking deposit of 50% of the total rental cost plus a non‑refundable €25 booking administration fee is required at the time of booking.
b) For special events, festivals or peak dates, we may require payment in full at the time of booking. You will be informed if this applies to your reservation.
2.2 Balance of Payment
a) The balance of the rental cost must be received no later than 7 days prior to the arrival date.
b) Late or non‑payment may result in automatic cancellation of your booking without further notice.
c) Check‑in and arrival instructions will only issue once full payment has been received.
2.3 Changes to Your Booking
a) If you request an amendment and we are able to accommodate it, an administration fee of €25 per amendment applies.
b) Where a booking is changed, any previous right to refund under the original cancellation terms may no longer apply.
2.4 Method of Payment
a) We accept payment by debit or credit card via Stripe and by bank transfer.
b) Cheques and postal orders are not accepted.
3. Cancellation
3.1 Cancellation by the Guest
a) Cancellation within 24 hours of making the booking: all monies paid will be refunded less a €25 administration fee.
b) Cancellation from 24 hours up to 8 days before arrival: 50% of the total booking value (excluding any non‑refundable fees) is withheld plus a €50 administration fee.
c) Cancellation within 7 days of arrival: 100% of the total booking value is forfeited.
d) The booking fee/administration fee is non‑refundable in all circumstances.
e) Guests are strongly advised to obtain travel insurance to cover cancellation costs.
3.2 Major Changes or Cancellation by Irish Stay Collection
a) In rare cases it may be necessary to make a significant change to your booking (including price, dates or property). You may then either:
i. accept the alternative arrangements, or
ii. cancel and receive a refund of all monies paid to Irish Stay Collection for accommodation.
b) Compensation is limited to the amount actually received by us in respect of your booking.
4. Force Majeure
4.1 Force Majeure
a) If your booking must be curtailed, altered or cancelled due to circumstances beyond our reasonable control (including but not limited to natural disasters, severe weather, fire, utility supply failures, civil unrest, industrial action or similar events), we may offer to carry forward payments received towards another stay in the same location within 12 months of your original arrival date.
b) No further compensation or liability will arise from such curtailment, alteration or cancellation.
5. Security Deposit, Utilities and Use of Property
5.1 Mandatory Security Deposit
a) A refundable security deposit of €200 per property (or such other amount as notified) is required and is normally pre‑authorised on your payment card prior to arrival.
b) For debit cards, the deposit may be charged and refunded manually within 7 days of departure, subject to property inspection.
c) The deposit may be retained in whole or in part for: damage; missing items; excessive cleaning; unpaid utilities or fees; unauthorised parties or events; breaches of these conditions; or late check‑out.
d) Where the cost of repair, replacement or additional services exceeds the security deposit, the guest remains fully liable for the balance and agrees to pay any additional amount on demand.
e) Refusal or inability to provide the security deposit on arrival is grounds for cancellation of the booking without refund.
5.2 Utilities
a) Unless otherwise stated, reasonable use of electricity, heating and water is included in the rental price.
b) Excessive or abusive use may incur additional charges which may be deducted from your security deposit.
5.3 Accommodation Capacity
a) For insurance and safety reasons, the number of occupants must not exceed the stated maximum capacity for the property.
b) We reserve the right to terminate the booking without refund where capacity limits are breached.
5.4 Use of Property and Behaviour
a) The property may only be used as private holiday accommodation by the named guests.
b) Parties, events or gatherings in excess of the permitted occupancy are prohibited unless expressly agreed in writing in advance.
c) Guests must not engage in any dangerous, illegal, offensive or noxious activities and must comply with all house rules and safety information provided.
d) Guests must not tamper with or misuse fire‑safety equipment (e.g. smoke alarms, extinguishers, emergency lighting).
e) Irish Stay Collection may refuse to hand over the property or may repossess it during the stay, without refund, where we reasonably believe misuse, serious nuisance or illegal activity is likely or is occurring.
f) Irish Stay Collection may terminate the stay without refund where behaviour endangers others, causes serious nuisance or results in material breach of these conditions.
5.5 Quiet Hours and Noise
a) To respect neighbours and local communities, guests must keep noise to a minimum, particularly between 11:00 pm and 8:00 am.
b) Loud music, shouting or other disturbance during these hours may result in intervention by management and, in serious or repeated cases, termination of the stay without refund.
6. Check‑In, Check‑Out and Access
6.1 Arrival and Departure
a) Check‑in time is from 4:00 pm on the day of arrival unless otherwise notified.
b) Check‑out time is strictly 11:00 am on the day of departure. Late departure may incur a charge and/or deduction from the security deposit.
c) You should confirm your approximate arrival time in advance and ensure you have received full check‑in instructions and directions.
6.2 Right of Access
a) Irish Stay Collection, the owner or appointed contractors may enter the property at reasonable times to inspect, carry out maintenance or address urgent issues. Wherever possible, prior notice will be given.
7. Guest Responsibilities
7.1 General Care of the Property
a) You agree to keep the property, furniture, fittings and all contents in the same condition as at the start of your stay, fair wear and tear excepted.
b) All breakages, damage or loss must be reported as soon as reasonably possible.
c) An inventory and/or condition record may be used as a reference point when assessing any damage and potential deductions from the security deposit.
7.2 Cleaning
a) The property must be left in a clean and tidy condition, with rubbish disposed of in the appropriate bins and all kitchenware washed.
b) Additional cleaning charges may apply where the property is left excessively dirty and may be deducted from the security deposit.
7.3 Smoke‑Free and Drug‑Free Policy
a) All Irish Stay Collection properties are strictly non‑smoking and drug‑free, including balconies, patios and all external areas within the property boundary.
b) A minimum €200 cleaning fee will be charged, and may be deducted from the security deposit, where this policy is breached.
7.4 Pets
a) Most properties do not accept pets. Guests must obtain written confirmation before bringing any pet.
b) Where pets are accepted, the maximum number, applicable fees per pet and any additional terms will be confirmed in writing.
c) Pets must be kept under control at all times, must not be left unattended in the property and are not permitted on beds or soft furnishings.
d) Guests are responsible for promptly cleaning up all pet waste and for any damage or extra cleaning arising from pets.
e) Unauthorised pets or breach of pet rules may result in immediate termination of the stay and forfeiture of the security deposit.
7.5 Age and Group Restrictions
a) The lead guest making the booking must be at least 21 years of age and present for the duration of the stay.
b) We do not accept bookings from groups under 21 years of age or from hen/stag parties unless expressly agreed in writing.
c) Failure to disclose group composition may result in refusal of check‑in or termination of the stay without refund.
7.6 Children and Supervision
a) Children must be supervised by a responsible adult at all times within the property and its grounds.
b) Parents/guardians are fully responsible for the safety and behaviour of children in their party.
8. Special Needs, Requests and Online Bookings
8.1 Disabled Guests and Special Needs
a) Any physical, medical or other special needs within your party must be disclosed at the time of booking.
b) Where, in our opinion, a property is unsuitable for particular needs, we may decline the booking or suggest alternative options.
8.2 Special Requests
a) Requests for particular properties, layouts or features must be made at the time of reservation.
b) While every reasonable effort is made to accommodate requests, they cannot be guaranteed and do not form part of the contract unless expressly confirmed in writing.
8.3 Online Bookings
a) Where a booking is made online, the initial email acknowledgement is provisional and not a final confirmation.
b) Irish Stay Collection reserves the right to decline or amend any such booking prior to issuing a formal booking confirmation and invoice.
9. Linen, Towels, Cots and Highchairs
9.1 Bed Linen and Towels
a) Bed linen and one hand towel and one bath towel per person are provided.
b) For longer stays, additional linen or towel changes may be arranged in advance and may be subject to an extra charge.
9.2 Cots and Highchairs
a) Cots and highchairs are available in most properties and must be requested at the time of booking.
b) Cot linen is not supplied and must be provided by the guest.
10. Liability and Insurance
10.1 Liability
a) Irish Stay Collection, the property owner, employees and agents accept no responsibility for any loss, damage, expense or injury sustained by you or any member of your party, or your property, during your stay, except where such loss or damage arises directly from our proven negligence.
b) All motor vehicles (including contents), luggage and personal belongings are brought to and left at the property entirely at your own risk and are not insured by us.
10.2 Insurance
a) You are strongly advised to obtain suitable travel, health and personal‑property insurance for all members of your party, including cancellation cover and cover for accidental damage.
11. Complaints, Lost Property and Default
11.1 Complaints Procedure
a) Any issue or complaint must be reported immediately during your stay to give us a fair opportunity to investigate and remedy it.
b) If not resolved locally, a formal written complaint should be submitted within 14 days of departure.
c) Failure to follow this procedure may affect any subsequent claim.
11.2 Lost Property
a) Items left behind will be held for a limited period (normally up to 30 days) and may then be donated or disposed of if unclaimed.
b) Return of items is at the guest’s request and expense, and a handling/postage charge may apply.
11.3 Default by the Guest
a) You are responsible for checking that all booking confirmations, invoices and travel documents issued by Irish Stay Collection are correct and for notifying us immediately of any errors.
b) We cannot accept responsibility for issues arising from incorrect information not promptly brought to our attention.
12. Data Protection and Payment Security
12.1 Personal Data
a) Personal data provided in connection with your booking will be processed in accordance with applicable data‑protection law, including the GDPR.
b) Data will be used for the performance of your booking, administration, legal compliance and, where consent is given, marketing.
12.2 Payment Details
a) Card payments and security deposits are processed through secure PCI‑compliant payment processors such as Stripe.
b) Card details are handled in line with banking security requirements and are not retained longer than necessary for legitimate business or legal purposes.
13. Governing Law
13.1 These General Conditions and any dispute arising from your booking shall be governed by the laws of Ireland and subject to the exclusive jurisdiction of the Irish courts
